Booking & Payments

Currency

All rates are in pounds sterling and must be paid in pounds sterling. Guests should confirm currency conversions with their financial institutions. Deposit & Cancellation Policy: A 10% deposit is required to secure your booking (non-refundable due to costs associated with instructors and vendors). We recommend purchasing travel insurance for protection. No refunds are provided for early departure or unused activities.

Cancellation by Organizers
In unforeseen events or insufficient enrollment, The Elsewhere Society reserves the right to cancel the retreat, offering full refunds but excluding incidental expenses like prebooked travel costs. If a facilitator is unavailable due to illness or injury, the workshop will proceed if an alternative facilitator can be found, with pro-rated refunds issued for instructor fees as applicable.

Property Use & Guest Etiquette
We kindly ask all guests to respect the Property. Smoking is not permitted indoors, and guests are expected to return rooms in their original condition, assuming responsibility for any damages.

Children Policy
Our retreats are exclusively for guests 18 years and older. Minors under 18 are not permitted at these events.

Assumption of Risk
Staying in an historic property involves certain risks, such as uneven surfaces and stairs. While comfort and safety are priorities, the Property’s structure may pose challenges for guests with mobility concerns. By booking, guests assume these risks.

Health, Dietary Needs, & Allergies

Food Allergies & Dietary Restrictions

While we strive to accommodate dietary needs, we cannot guarantee an allergen-free kitchen. Guests with severe or life-threatening food allergies should carefully consider this risk before booking. The Property is not pet-friendly, with the exception of assistance animals such as guide dogs. We reserve the right to cancel any reservation if we determine that safely accommodating specific dietary needs would be too challenging for our staff to fulfill with complete assurance.

Medical & Accessibility Considerations

Guests are responsible for managing health conditions and prescriptions. Due to the historic nature of the property, accessibility may be limited. Please verify your rooms accessibility prior to booking your retreat.

Room Assignments

Rooms vary in size and decor; assignments are made based on registration order. Basic toiletries, linens, and towels are provided.

Offsite Participants

Guests attending as offsite participants are responsible for their own accommodations and transportation. The Elsewhere Society is not liable for issues encountered at independently booked accommodations or during transit.

Meal Offerings

Our all-inclusive rate includes breakfast, lunch, and dinner, with the exception of a pub meal on one occasion. While we strive to meet dietary preferences, certain dietary accommodations may be challenging due to kitchen limitations. Please inform us of dietary requirements at time of booking.

Alcohol Preferences

We aim to provide a curated experience with alcoholic and non-alcoholic offerings. Guests may indicate preferences for alcoholic or non-alcoholic options in advance.

Intellectual Property & Media Consent

The Elsewhere Society reserves the right to photograph and film during retreats for promotional use. Guests who prefer not to be included should notify us in writing before the retreat begins.

Liability Release

Guests acknowledge and assume risks associated with their stay, including but not limited to accidents, acts of God, or pandemics. The Elsewhere Society is not liable for personal injuries or losses.

Dispute Resolution

Any issues during your stay should be reported immediately for prompt resolution. Disputes will be governed by English law.

Protect Your Trip

We strongly encourage guests to secure travel insurance to cover unexpected cancellations or interruptions.

Pricing and Payments

Non Refundable Deposits
In order to provide the highest quality retreats and to ensure participants sign up with commitment to their retreat - The Elsewhere Society retreats with guest instructors and facilitators require a much greater degree of certainty, investment, and planning. We understand of course that there is always the possibility of unforeseen circumstances that may come up, which is why we recommend that all retreat attendees purchase travel insurance to protect the investment made on this trip. Thank you for understanding.

Non Refundable Payment Installations
Once we collect each payment, these also become non-refundable. We try to spread out these payments, not only to allow time to pay it all off, but to provide our retreat participants more time to be certain they will be able to attend. We sink non-refundable costs into the planning and execution of each and every workshop, well before it begins- very much based around the exact group size. Please be aware of this policy as you make each payment, and in the event of an unavoidable cancellation, please turn to your travel insurance to seek reimbursement of your retreat and travel fees.
